Turn coaching enquiries into a clear admissions process

A practical way to track enquiries, demo classes and follow-ups without losing parents and students between steps.

Define what counts as an enquiry

A social-media like, a downloaded worksheet and a parent asking about admission are different signals. Keep them separate. For an admissions enquiry, record the course or class of interest, preferred batch, contact method and next step. Do not count repeat messages from the same family as new prospects. A clear definition makes it easier to understand which sources bring suitable enquiries.

Make the next step specific

Give families clear information about the course, timings, fees, teaching format and how to book a discussion or demo class. If a detail is not final, say so rather than using an invented deadline. For a demo booking, confirm the date, venue or joining instructions and who will answer questions. The aim is to remove uncertainty, not to pressure families into an unsuitable course.

Track the journey with a small set of stages

Start with New enquiry, Contacted, Demo booked, Demo attended, Decision pending, Enrolled and Closed. Assign an owner and a next action date. Record a reason when a family decides not to join, such as timing, travel or course mismatch. Keep notes factual and respectful. A simple spreadsheet can establish the process before an institute invests in a custom system.

Follow up with useful information

After a demo, ask whether the course meets the student's needs and answer specific questions. Send the agreed timetable or fee information rather than repeated generic reminders. Use the contact channels families have agreed to, and respect a request to stop follow-ups. Staff should coordinate messages so the same family is not contacted independently by several counsellors.

Measure admissions rather than message volume

Track enquiries, demos booked, demos attended and enrolments by source and period. Demo attendance rate equals attended demos divided by booked demos. Enquiry-to-enrolment rate equals enrolments divided by enquiries from a consistently defined group. For example, 8 enrolments from 80 enquiries is 10%; this is an illustrative calculation, not a benchmark or a promised result. Allow for families who decide in a later period.

Keep student information proportionate

For initial enquiries, collect only what is needed to discuss the course and arrange the next step. Avoid putting sensitive student records into a general marketing tracker. Define who can see records and when old enquiries should be reviewed or removed. Before implementing messaging or handling children's information, assess the requirements applicable to your institute and chosen providers.

What to improve first

If enquiries are unanswered, fix ownership. If families book demos but do not attend, review instructions and reminders. If demos are attended but enrolments are low, investigate course fit and unanswered questions before increasing promotional activity. Once the bottleneck is understood, choose software that supports that specific step.
